Stainless Steel RFQ Checklist

A complete RFQ lets suppliers quote the same technical and commercial scope. The checklist should remove uncertainty about material, dimensions, processing, inspection, documentation and delivery.

Material identityGrade plus standard
Quality evidenceTests and documents
Commercial basisQuantity, Incoterm and destination

Decision summary

Define the product before asking for a price

Price comparisons are unreliable when suppliers have interpreted missing requirements differently.

Grade and designation

State UNS, ASTM type, EN number/name, JIS SUS or GB designation and permitted alternatives.

Product standard

Name the specification and edition for sheet, plate, coil, bar, pipe, tube or fitting.

Dimensions and tolerance

Add thickness/wall, width/OD, length, schedule, edge, straightness, flatness and special limits.

Condition and finish

Define annealed, cold-worked or heat-treated condition plus finish, roughness and protective film.

Processing and inspection

List cutting, forming, welding, machining, NDE, PMI, testing and acceptance.

Commercial delivery

State quantity, unit, packaging, Incoterm, named place, delivery window and destination restrictions.

Reference table

Stainless steel RFQ field checklist

Complete every applicable row or mark it not applicable. Do not leave safety- or quality-critical fields to supplier assumption.

A supplier should identify every exception and assumption in the quotation. Commercial terms should use the named Incoterms rule and place, not only a three-letter abbreviation.

Working method

Issue and compare RFQs consistently

The same baseline should reach every bidder, and revisions should be controlled.

Freeze the requirement

Create one numbered specification, drawing set and revision date.

Issue a response matrix

Require comply, deviate or not applicable against each technical line.

Clarify in writing

Distribute material clarifications to all bidders where procurement rules require equal information.

Normalize the comparison

Compare material basis, processing, testing, documents, freight, exclusions and delivery before price.

Limits and escalation

Do not let the checklist replace engineering approval

Unknown service needs review

The buyer must define environment, load, temperature and code before a supplier can responsibly select material.

Alternatives need approval

Lower-cost substitutions require documented technical comparison.

Certificates must be specified early

Some inspection documents and tests cannot be recreated after manufacture.

Delivery terms allocate risk

Incoterms do not replace the sales contract, payment, title, warranty or import requirements.

Interactive planning aid

Check RFQ readiness

Select the current status of four core blocks. The score identifies what must be completed before issue.

Frequently asked questions

Stainless steel RFQ FAQ

At minimum state grade, product standard, form, dimensions, quantity, finish/condition, destination and required delivery basis.
Requirements and referenced methods can change between editions, and projects may freeze a specific one.
Yes. Inspection-document type and any specific tests should be agreed before production.
Require suppliers to identify alternatives as deviations and provide a documented technical comparison for buyer approval.

ISO 10474:2013

Official inspection-document standard for steel and steel products.

The checklist organizes an inquiry but does not select a grade, perform code design or replace the purchase contract and licensed standards.

RFQ preparation context

Make the known requirements visible before the supplier prices the request.

A useful RFQ connects grade, form, dimensions, tolerance, finish, quantity, standards, documents, packaging and delivery terms into one reviewable requirement.

  • Material identity
