CERTIFICATIONS / COMPLIANCE DOCUMENTS

Define the evidence the order must carry.

Certificates, inspection records and compliance statements should be named before quotation and reviewed against the governing specification. The document must match the material, the order and the acceptance requirement.

01 / DOCUMENT MAP

Documents commonly discussed in a stainless steel order.

The appropriate document set is order-specific. Confirm the standard, edition, required fields, language, signatory and acceptance route with the supplier before an offer or purchase order is released.

MATERIAL

Mill test certificate

Connects the supplied material with its grade, heat or batch reference and reported test results.

INSPECTION

Inspection record

Records dimensional, visual or other checks requested under the order and acceptance plan.

CONFORMITY

Conformity statement

States conformity against an agreed specification or order requirement when that wording is requested.

02 / DOCUMENT REQUEST

Put the document requirement into the RFQ.

Build an RFQ  →
01

Set the basis

State grade, product form, standard number and edition, dimensions, quantity and destination.

02

Name the evidence

Specify certificate, test result, inspection record, photograph or approval format required by the project.

03

Keep identity visible

Describe heat, lot, package or item marking and any transfer-record requirement.

04

Review before release

Confirm availability, scope, timing and commercial terms before the order is committed.

03 / DOCUMENT CONTROL

A document is not evidence unless it can be reconciled.

Before acceptance, connect the document with the purchase order, material identity, stated inspection basis and received quantity. A file with a familiar title does not by itself establish compliance.

Build a compliance-aware RFQ  →
  • 01Match the document identity to heat, batch, lot, item or package records.
  • 02Check the grade, standard, revision and product condition against the order.
  • 03Confirm reported results and inspection scope use the correct acceptance basis.
  • 04Hold unresolved mismatches until the supplier, inspector or purchaser provides disposition.

04 / ACCEPTANCE BOUNDARY

Use the governing specification for final acceptance.

A certificate, inspection report or conformity statement supports the acceptance process. It does not replace the complete purchase specification, approved drawings, defined inspection plan or a required traceability control. Keep the acceptance basis clear before material is released for use.
